District and School Collection Repository (DASCR)
Schools and districts are able to add, update and close schools using the online District and School Collection Repository (DASCR) Web application tool.
District staff who submit school changes, log on through the secure Web applications portal and then select “District and School Collection Repository.” Click Applications - Login to login to DASCR. Additional login information and user instructions are available in the
DASCR User Guide and in a step-by-step training video. (A district login ID and password are required to access the video.)
Staff must be granted access to DASCR by the district WAAPOC. Districts' WAAPOCs are listed in the
District and School Directory.
Data is preloaded with what is already in the system about the school. There are three options to choose from to make changes: (1) add a new school, (2) change (reconfigure) a school and (3) close a school. Once you choose an option, school information can be updated on-line. KDE will respond to the request within one business week.
Schools and districts are asked to ensure that their school data is correct at the state level at all times. This data is reported publically in the
On-Line School Directory and will also populate the new School Report Card that will be published this fall. The on-line directory information is much more current and beginning in 2018, the paper copy of the school directory will no longer be produced.
Districts and schools are asked to verify data populated in the on-line school directory is current by August 30th. This includes both school demographic data and person role data at the district and school level. If updates are necessary:
School demographic data can be updated through the DASCR system.
The key items to verify are: District and school code, name, address, phone number, and contacts. In addition at the school level only: grade range, Title I status, classification, Changes made through the annual verification will not change prior year School Report Cards.
Roles can be updated through the WSA (People Role Manager) application.
Verify superintendent, principals and all contacts are correct. It is important to ensure contacts no longer in the role are end dated and emails are verified as new roles are setup. Roles created are used to create distribution lists and set application-level permissions.
Both applications can be accessed through the
web applications tool. Staff who do not have a KDE Web Application tool user account, or have forgotten their username or password, should visit the
self-registration page to register for an account or retrieve their username/password. District or school staff that will be verifying school data must be set up with access by the district WAAPOC.
Districts must actively validate school demographic information by August 30th. Instructions are provided below:
· Login to KDE Web Applications tool here.
· Select District and School Data Collection Repository (DASCR).
· Select the Verification tab.
· Select the name of each school and review the information for completion and accuracy.
o If no changes are needed, select the Verify button.
o If changes need to be made, select the Update button and fill in the requested changes. Within a few days, you will be notified when the change(s) is in effect. At that point, review the information again and select the Verify button.
